The Executive Support Unit (ESU) had yet another successful year; and significantly supported the Communication and Marketing Department (CMD) with all administrative and operational requirements over 2022. We continued with meetings and staff gatherings in a hybrid working style, which were fully supported by this unit.

Meetings (coordinating recordings, minuting, scheduling)

Meeting coordination, scheduling, recordings and minute writing are some of the primary duties of the executive support team. As part of these duties, we scheduled and coordinated 128 meetings [recording and taking minutes as well]. These included Management; Finance; Human Resources; Executive; Transformation Committee; Development, Communication, Advancement and Marketing (DCAM); as well as staff meetings and activities.

    • HR payments and administration
    • Vacancies filled for 2022: five contract vacancies/one permanent appointment.

General administration

All administrative and logistical processes were digitised and managed by the ESU (executive reports, leave rosters, weekend standby schedules, software licensing, subscription renewals, travel arrangements and logistics, etc), enabling ESU to efficiently support all CMD units.

Finance

About 423 invoices and 20 journals were processed; while Purchase Orders were successfully reported on.

Operations

BSR events: We assisted with seven hybrid events.

Central office activities: We coordinated the staff year-end picnic, Christmas gifts and staff attire distributions.

Building and facilities management: We facilitated building upkeep, space allocations and aesthetics, asset registry, security and safety services, fire and alarm system management, housekeeping and maintenance, and calls logged with internal and external suppliers (over 40).
